Project Coordinator

We're seeking an organised, commercially aware and detail-focused Project Coordinator to support the successful delivery of business development, bid management and client support activities within a growing digital marketing and web development agency.

This is an excellent opportunity for someone with 2–3 years' experience in a B2B agency environment, who enjoys research, proposal development, project coordination and supporting cross-functional teams. You'll work closely with senior stakeholders, account teams, digital specialists and leadership to coordinate tender submissions, support new business opportunities and contribute to the smooth delivery of strategic agency initiatives.

The ideal candidate will be proactive, highly organised and confident managing multiple priorities in a fast-paced agency environment.

Key Responsibilities

Bid & Tender Coordination

  • Coordinate and manage the end-to-end process for bid, tender and proposal submissions.
  • Research tender opportunities across public and private sector procurement platforms.
  • Support the preparation of compelling bid responses, proposals, presentations and capability documents.
  • Gather information from internal stakeholders and subject matter experts to create high-quality submissions.
  • Ensure all tender documentation is completed accurately and submitted within deadlines.
  • Maintain bid libraries, case studies and supporting content repositories.

Research & Business Development Support

  • Conduct market, sector and competitor research to support business growth initiatives.
  • Identify potential prospects, partnership opportunities and framework agreements.
  • Assist with lead generation projects and new business campaigns.
  • Prepare research reports, briefing documents and opportunity assessments for senior leadership.
  • Support pitch preparation and client presentations.

Project & Operational Support

  • Coordinate internal projects across digital marketing, web development and client services teams.
  • Track project actions, milestones and deadlines to ensure timely delivery.
  • Organise meetings, workshops and stakeholder communications.
  • Support resource planning, administration and project reporting activities.
  • Maintain accurate project documentation and status updates.

Client & Account Support

  • Assist account teams with client communications and project administration.
  • Support onboarding processes for new clients and projects.
  • Prepare meeting agendas, notes and action logs.
  • Help ensure an excellent client experience through responsive and proactive support.

About You

Essential Experience

  • 2–3 years' experience within a B2B digital marketing, creative, technology or web development agency.
  • Experience supporting bid management, tender submissions, proposals or business development activities.
  • Strong research and information-gathering skills.
  • Experience coordinating multiple projects and stakeholders simultaneously.
  • Excellent written communication skills with the ability to create clear, professional documentation.
  • Strong attention to detail and organisational capability.

Desirable Experience

  • Experience responding to public sector tenders and procurement frameworks.
  • Knowledge of digital marketing, web development or digital transformation services.
  • Experience using CRM, project management or collaboration platforms.
  • Exposure to proposal writing, pitch support or sales enablement activities.
